A request arrives by email with a plan set attached, or through a form, or both, which is the same job twice. The system deduplicates it, reads the scope, matches items to your price list, checks current supplier rates, and drafts the quote in your system for an estimator to review. The estimator's job shrinks from building a quote to checking one.
Progress claims and variations
Claims assembled from the schedule of rates, the work completed and the variations approved, with the supporting evidence attached and the arithmetic checked before it goes out. Late claims are a cash flow problem long before they are an admin problem.
Subcontractor compliance
Insurance certificates, licences, SWMS and inductions tracked against expiry dates, with reminders going out before a certificate lapses rather than when someone notices on site. The register stays current without anyone maintaining a spreadsheet.
Site incidents to compliance packs
A voicemail, a photo from a phone and a few lines of text become a classified incident: severity assessed against the regulator's rules, the notification clock started, the register updated and the notification drafted for your safety manager to sign. Notifiable incidents carry tight statutory windows, so the gate stays human.
Supplier invoices and three-way matching
Invoice, purchase order and delivery docket compared automatically, variances flagged, matched invoices posted to Xero or MYOB and scheduled for payment. The exceptions, which are the only part worth a person's time, arrive in a queue with the discrepancy already identified.

Long tender documents read and reduced to a criteria matrix, draft responses assembled from your capability statements and past submissions, and a coverage check that catches the criterion everyone missed at 4pm on the day it closes.

Ask a builder where the waste is and they will point at the site. Watch the office for a week and it is somewhere else entirely: the same information typed into three systems, quotes waiting on a supplier price, claims delayed because nobody has assembled the evidence, and a project manager spending an afternoon on a compliance register.

The second is that construction work is lumpy. A tender period or an end-of-month claims run is not a steady load; it is a wall. Systems that handle the average and fall over at the peak have solved the wrong problem, because the peak is precisely when the office is drowning.
So the intake is designed for a phone (a voicemail, a photo, a forwarded email) and the capacity is designed for the worst week of the month, not the median one.

Yes. We integrate through supported APIs where the platform provides them, and design a defensible boundary where it does not. We will confirm exactly what is possible with your specific version and licence tier during discovery, before you commit to anything.
Our estimators say every quote is different. Can this really help?
Every quote being different is why we do not try to automate the estimator away. What is highly repeatable is everything around the judgement: reading the request, extracting the scope, matching known items to the price list, checking stock and supplier pricing, and assembling the document. The estimator still prices the job. They just stop spending two hours getting to the point where they can.
What about safety and incident reporting obligations?
Notifiable incidents carry statutory notification windows that vary by jurisdiction, and getting one wrong is serious. We build these workflows so the system does the assembly (classification against the rules, the register entry, the drafted notification, the deadline clock) and a qualified person always approves before anything is submitted.
We're a trade business with fifteen staff, not a tier-one builder. Is this for us?
Often it is a better fit at your size. Smaller businesses do not have a dedicated contracts administrator absorbing the paperwork, so it lands on the owner or the one person holding the office together, which means the hours returned go somewhere that matters immediately.
